Job Summary

As the Office Manager at Roleplay, you’ll be the backbone of our creative team, ensuring the smooth operation of our design studio. You’ll manage day-to-day administrative tasks, support client communications, and assist in project coordination. By keeping everything organized and running efficiently, you’ll help foster a productive and inspiring work environment. Your ability to juggle office management duties with a proactive and positive attitude will be essential to maintaining our team’s focus on delivering top-notch creative work.

What You’ll Do

 

Office Organization Mastery

— Keep the studio running smoothly by managing office supplies, schedules, and day-to-day operations.
— Organize meetings, events, and handle the general comings and goings in the studio.
— Maintain a tidy and inspiring workspace that fuels creativity!

Client and Project Support

— Be the friendly face that greets clients and visitors, both in-person and virtually.
— Help with basic project coordination, tracking timelines, and keeping things on schedule.
— Handle client communication and follow-ups when needed.

Day to day

— Manage multiple design projects simultaneously, ensuring timely delivery and adherence to deadlines.
— Work closely with project managers to understand project scopes, timelines, and client expectations.
— Mentor and inspire junior designers and interns.

Admin and Finance Support

— Handle invoicing, expenses, and coordinate with our accounting team.
— Keep records up to date (timesheets, contracts, etc.)
— Assist with basic HR tasks, from scheduling interviews to keeping an eye on office needs.

Tech and Tools Guru

—Keep our office software and tools running smoothly, and liaise with IT support when needed.
— Help manage subscriptions, studio assets, and any new office gadgets (because we love gadgets!).

What you bring

— You love checklists, calendars, and color-coded spreadsheets.
— You see what needs doing and dive in without needing to be asked. You’re always one step ahead.
— Whether it’s in person, via email, or on the phone, you communicate clearly and warmly.
— You know the ins and outs of managing a busy office and keeping things efficient.
— Familiar with basic office software (Google Suite, Microsoft Office), and quick to learn new tools. A little familiarity with design tools is a bonus but not essential.
